Each ticket contains a unique QR code that can be checked at the entrance with the Cevento scanner app. This allows you to see whether a ticket is valid, whether it has already been scanned, and which booking it belongs to.<\/p>\n<p>Tickets can be enabled globally and then adjusted for individual events. The scanner app is optimized for phones and can be opened directly from the Cevento settings or from the event editor.<\/p>\n<p><mark class=\"cevento-docs__notice\">Tickets are only valid for bookings that are allowed to enter the event. For free events, the booking must be <span class=\"cevento-docs__term\">Confirmed<\/span>. For paid events, the booking must be paid successfully.<\/mark><\/p>\n<h2 id=\"enable-tickets-globally\">Enable tickets globally<\/h2>\n<p>To enable tickets for all events by default, go to <span class=\"cevento-docs__term\">Cevento<\/span> &rarr; <span class=\"cevento-docs__term\">Settings<\/span> and open the <span class=\"cevento-docs__term\">Tickets<\/span> section.<\/p>\n<p>Activate the <span class=\"cevento-docs__term\">Tickets<\/span> setting. From now on, Cevento will attach PDF tickets to user-facing booking confirmation emails for events that use the global ticket setting.<\/p>\n<p>In the same section, you can also configure the default ticket design:<\/p>\n<ul>\n<li><span class=\"cevento-docs__term\">Ticket Logo<\/span>: Logo shown on generated tickets.<\/li>\n<li><span class=\"cevento-docs__term\">Ticket Text<\/span>: Short text shown on every ticket, for example entrance instructions.<\/li>\n<li><span class=\"cevento-docs__term\">Ticket Footer<\/span>: Footer text shown below the ticket details. Paragraphs are split into two columns automatically.<\/li>\n<li><span class=\"cevento-docs__term\">Demo Ticket<\/span>: Downloads a sample PDF so you can check the current layout.<\/li>\n<li><span class=\"cevento-docs__term\">Scanner App<\/span>: Opens the scanner app directly or shows a QR code you can scan with the entrance device.<\/li>\n<li><span class=\"cevento-docs__term\">Scanner App Link<\/span>: Sends the scanner app link to an entrance team member by email.<\/li>\n<\/ul>\n<p><mark class=\"cevento-docs__tipp\">Use the demo ticket before the first event. It is the quickest way to check whether the logo, text, and footer work well on the generated PDF.<\/mark><\/p>\n<h2 id=\"configure-tickets-for-a-single-event\">Configure tickets for a single event<\/h2>\n<p>Open the event editor and go to the event settings. In the <span class=\"cevento-docs__term\">Bookings<\/span> section, the <span class=\"cevento-docs__term\">Tickets<\/span> field lets you decide whether the event should use tickets.<\/p>\n<p>The following options are available:<\/p>\n<ul>\n<li><span class=\"cevento-docs__term\">Use global setting<\/span>: Uses the global ticket setting from <span class=\"cevento-docs__term\">Cevento<\/span> &rarr; <span class=\"cevento-docs__term\">Settings<\/span>.<\/li>\n<li><span class=\"cevento-docs__term\">Yes<\/span>: Enables tickets for this event, even if they are disabled globally.<\/li>\n<li><span class=\"cevento-docs__term\">No<\/span>: Disables tickets for this event, even if they are enabled globally.<\/li>\n<\/ul>\n<p>When tickets are enabled for an event, an additional <span class=\"cevento-docs__term\">Tickets<\/span> tab appears in the event editor. There you can override the global ticket logo, ticket text, and ticket footer for this specific event. You can also download a demo ticket using the event-specific settings.<\/p>\n<h2 id=\"ticket-emails\">Ticket emails<\/h2>\n<p>For free events, Cevento attaches the ticket PDF to the booking confirmation email sent to the user.<\/p>\n<p>For paid events using the <a href=\"\/en\/docs\/002-woocommerce\/\">WooCommerce integration<\/a>, the ticket PDF is attached to the WooCommerce order confirmation emails after successful payment.<\/p>\n<p><mark class=\"cevento-docs__notice\">If you manually resend a confirmation email, Cevento generates the ticket again and attaches it to the email again. The ticket still belongs to the same booking.<\/mark><\/p>\n<h2 id=\"scanner-app\">Scanner App<\/h2>\n<p>Structure of the scanner app for ticket checks:<\/p>\n<div uk-lightbox><a href=\"wp-content\/uploads\/cevento-docs\/en\/003-007-tickets-scannerapp.png\" data-caption=\"Screenshot of the scanner app on a smartphone\"><img decoding=\"async\" src=\"wp-content\/uploads\/cevento-docs\/en\/003-007-tickets-scannerapp.png\" alt=\"Screenshot of the scanner app on a smartphone\"><\/a><\/div>\n<ol>\n<li>Event selection: If the scanner app was opened globally, you can select the event for which you want to scan tickets here. If the scanner app was opened directly from an event, the event is already preselected.<\/li>\n<li>Camera area: To start the camera, click <span class=\"cevento-docs__term\">Start Camera<\/span> or the empty area with the camera icon. Point the camera at the QR code on the ticket. Cevento checks the ticket immediately and shows the result automatically.<\/li>\n<li>Manual ticket check: If the camera is unavailable or the QR code cannot be read, use the manual input field. Enter the ticket token and click <span class=\"cevento-docs__term\">Check Ticket<\/span>. The result is the same as with a camera scan.<\/li>\n<\/ol>\n<h3>Open the scanner app<\/h3>\n<p>The scanner app can be opened in two places:<\/p>\n<ul>\n<li>Globally under <span class=\"cevento-docs__term\">Cevento<\/span> &rarr; <span class=\"cevento-docs__term\">Settings<\/span> &rarr; <span class=\"cevento-docs__term\">Tickets<\/span>.<\/li>\n<li>In the event editor, in the <span class=\"cevento-docs__term\">Tickets<\/span> tab, when tickets are enabled for that event.<\/li>\n<\/ul>\n<p>You can open the scanner app directly with the button, or scan the displayed QR code with the phone that will be used at the entrance.<\/p>\n<p>The scanner app requires a logged-in WordPress user who is allowed to scan tickets. Administrators can scan tickets. Cevento also creates the user role <span class=\"cevento-docs__term\">Cevento Ticket Scanner<\/span> for entrance team members who should only access the scanner.<\/p>\n<p><mark class=\"cevento-docs__notice\">Camera scanning usually requires a valid SSL certificate on mobile devices. If the camera cannot be started, you can still enter the ticket token manually in the scanner app.<\/mark><\/p>\n<h3>Scan tickets<\/h3>\n<p>Open the scanner app on the entrance device and click <span class=\"cevento-docs__term\">Start Camera<\/span>. Point the camera at the QR code on the ticket. Cevento checks the ticket immediately and shows the result.<\/p>\n<p>The scanner can show the following results:<\/p>\n<div class=\"uk-overflow-auto\">\n<table>\n<thead>\n<tr>\n<th>Result<\/th>\n<th>Meaning<\/th>\n<\/tr>\n<\/thead>\n<tbody>\n<tr>\n<td>Valid<\/td>\n<td>The ticket belongs to an eligible booking and has now been checked in.<\/td>\n<\/tr>\n<tr>\n<td>Already scanned<\/td>\n<td>The ticket was already scanned before. The scanner shows when the scan happened.<\/td>\n<\/tr>\n<tr>\n<td>Invalid<\/td>\n<td>The ticket could not be found, belongs to another event, or is not valid for entry.<\/td>\n<\/tr>\n<\/tbody>\n<\/table>\n<\/div>\n<p>After a successful scan, the booking is marked as scanned. The same ticket cannot be checked in a second time without showing the &ldquo;already scanned&rdquo; warning.<\/p>\n<h3>Participant count<\/h3>\n<p>After a successful scan, the app shows how many participants are connected to the ticket. This helps the entrance team understand whether one scanned ticket represents one person or multiple participants.<\/p>\n<h3>Manual ticket check<\/h3>\n<p>If the camera is unavailable or the QR code cannot be read, use the manual input field in the scanner app. Enter the ticket token and click <span class=\"cevento-docs__term\">Check Ticket<\/span>. The result is the same as with a camera scan.<\/p>\n<h2 id=\"booking-table-scan-status\">Booking table scan status<\/h2>\n<div uk-lightbox><a href=\"wp-content\/uploads\/cevento-docs\/en\/003-007-tickets-bookingtable.jpg\" data-caption=\"Screenshot of the booking table with enabled tickets\"><img decoding=\"async\" src=\"wp-content\/uploads\/cevento-docs\/en\/003-007-tickets-bookingtable.jpg\" alt=\"Screenshot of the booking table with enabled tickets\"><\/a><\/div>\n<p>When tickets are enabled for an event, the booking table shows a ticket icon next to each booking. You can use it to see whether a ticket has already been scanned. (green icon (1): scanned successfully, gray icon (2): not scanned yet)<\/p>\n<p>The booking table also provides quick actions for tickets (see No. 3 in the screenshot, depending on the current scan status of the ticket, one of the two actions is shown):<\/p>\n<ul>\n<li><span class=\"cevento-docs__term\">Mark Scanned<\/span>: Marks a ticket as scanned manually.<\/li>\n<li><span class=\"cevento-docs__term\">Undo Ticket Scan<\/span>: Removes the scanned state manually.<\/li>\n<\/ul>\n<p>These actions are useful if a ticket was checked at the entrance without the scanner app, or if a scan was triggered by mistake.<\/p>\n<p>You can also filter the booking table by scanned and unscanned tickets. This makes it easier to review attendance during or after an event.<\/p>\n<h2 id=\"good-to-know\">Good to know<\/h2>\n<p>Tickets do not replace booking status management. A booking still has its regular booking status, such as <span class=\"cevento-docs__term\">Pending<\/span>, <span class=\"cevento-docs__term\">Confirmed<\/span>, or <span class=\"cevento-docs__term\">Cancelled<\/span>.
